Step 1: Choose Your Phone Number (Personal vs Dedicated SIM)

The most common mistake new business owners make is impulsively converting their personal number without planning.

You have two primary options:

  • Option A (Recommended): Use a Dedicated Secondary SIM or Landline. If you want work-life boundaries after 8 PM, purchase an affordable secondary SIM (e.g., ₹199 monthly recharge) dedicated solely to business operations.
  • Option B: Migrate Your Existing Personal Number. If all your legacy clients already contact you on your personal number, migrate it directly. Always create a fresh local and Google Drive chat backup via Settings > Chats > Chat Backup before proceeding.

Step 4: Configure Automated Messaging Tools

Inside Business Tools, set up the following three automations:

Greeting Message

Sent automatically to first-time message senders or customers reaching out after 14 days of inactivity.

Template:
"Hello! Welcome to Sharma Electricals. We are authorized dealers for certified home electrical fittings. Please describe what you need or mention your product model, and we will reply within 15–30 minutes."

Away Message

Fires automatically outside your published business hours.

Template:

Quick Replies (Time-Saving Shortcuts)

Save answers to questions customers ask repeatedly:

  • Shortcut /address: "Shop No. 4, Opposite Metro Pillar 142, Andheri East, Mumbai 400069. Landmark: Next to ICICI Bank."

Step 5: Organize Inquiries with Labels

When handling hundreds of chats weekly, messages easily get buried. Long-press any chat to attach color-coded Labels:

  • 🟡 New Inquiry (Awaiting quotation)
  • 🔵 Pending Payment (Order confirmed, awaiting funds)
  • 🟢 Paid (Funds received, packing in progress)
